The PPE Buyer's Checklist I Use Every Quarter: Fire Extinguishers, Hard Hats, Safety Glasses & Work Boots

I'm an office administrator for a 150-person manufacturing company. I manage all our safety equipment ordering—roughly $40,000 a year spread across six or seven vendors. I report to both operations and finance, which means I get pulled in two directions: operations wants the gear, finance wants the paperwork. Both are reasonable. Both need to be handled.

If you're the person in your company who handles PPE purchasing—whether it's your official title or something that just landed on your desk—this checklist is for you. It's the one I've built up since I took over purchasing in 2020, refined through more lessons than I'd like to admit. There are six items on it. The first time you work through them all, expect to spend a couple of hours. After that, it's about an hour per quarter.

Step 1: Check Fire Extinguisher Expiry Dates Before Anything Else

This wasn't on my radar at all until our annual safety audit in 2022. The auditor walked over to the extinguisher by the loading dock, flipped it around, and pointed at the date stamp. The last hydrostatic test had passed eighteen months earlier. That turned into a corrective action item, a fine, and a genuinely awkward conversation with my VP.

Here's how to check fire extinguisher expiry date in about 60 seconds per unit:

  • Find the date stamp on the cylinder neck or body. It shows both the manufacture date and the hydrostatic test date.
  • Check the maintenance tag. NFPA 10 requires a monthly visual inspection and an annual professional maintenance check—both should be documented on the tag.
  • Verify the pressure gauge needle sits in the green zone and the tamper seal hasn't been broken.
  • Know the difference between service life and hydrotest interval. Most stored-pressure extinguishers have a 12-year service life from manufacture. Dry chemical units need hydrotesting at 12 years; some other types at 5.

What tripped me up at first: people say "expiry date," but a fire extinguisher actually carries three separate dates—manufacture, hydrotest, and next inspection. All three matter. (I'm basing this on the NFPA 10 requirements as I understand them as of early 2025. If you're reading this in a few years, verify against the current edition.)

Step 2: Verify Hard Hat Condition and Chin Strap Attachment

Hard hats are the one piece of PPE everyone wants to keep past its useful life. I get it—a 6-month-old hat and a 5-year-old hat look nearly identical. But the suspension degrades, the shell loses impact resistance over time, and a worn chin strap can mean a hat comes off exactly when it shouldn't.

We use Pyramex hard hats in our facility, mostly the Ridgeline series. Not a romantic decision—they were well-rated, fairly priced, and Type 2 certified. Here's what I check on each one every quarter:

  • Suspension: Replace per the manufacturer spec—usually every 12 months regardless of how the hat looks. Check for cracking, fraying, or stretched sections that won't hold tension.
  • Shell: Look for gouges, dents, discoloration, or a chalky surface. Any of those means the shell has likely absorbed UV damage or an impact. Retire it.
  • Chin strap: The one most people skip. Verify it's attached to the suspension slots, not just clipped around the shell edge. Check that the buckle closes cleanly and that it adjusts snugly under the chin.
  • Type 1 vs. Type 2: If anyone works at height, in confined spaces, or around lateral impact hazards, Type 2 is the upgrade. The Pyramex hard hat chin strap, for what it's worth, is a simple order—just match it to the suspension type. Buy a few extras; they're inexpensive and they get lost.

Step 3: Test Anti-Fog and Photochromic Safety Glasses

Eye protection is the category that's changed the most in the five years I've been doing this. What was best practice in 2020 may not apply in 2025—anti-fog chemistry and photochromic lens tech have genuinely improved.

If a worker's glasses fog up, they take them off. That's not a discipline problem, that's a gear problem. We switched our indoor crew to Pyramex anti-fog safety glasses in 2023, and the difference in compliance was noticeable right away. The dual-layer anti-fog coating gets through a full shift, which the cheaper options we started with never did.

For workers who move between indoors and outdoors, photochromic safety glasses are worth a serious look. The lenses darken in sunlight and clear indoors. But there are a few things to verify before you buy:

  • Z87.1+ marking on the lens itself. Package claims aren't enough. The lens stamp should read Z87+. That plus sign means high-impact rated.
  • UV protection of 99.9% for outdoor use. Most photochromic lenses include this, but confirm it.
  • Transition speed. Photochromic lenses typically darken in 20–60 seconds and clear in 1–2 minutes. Not a defect—it's chemistry. If workers are stepping outside for a minute at a time, clear anti-fog lenses might actually serve them better.
  • Replacement lenses. For a crew of ten, swapping a scratched lens instead of replacing the whole frame cuts your yearly cost in half.

My experience here is based on maybe ten or eleven different models we've cycled through since 2021. If your team works in a consistently lit, temperature-controlled environment, photochromic might be a waste of money. It's a tool, not a badge.

Step 4: Inspect Work Boots for Wear, Not Just Purchase Date

Work boots are the category where the wearer always has an opinion. Fair enough—they stand on them all day. For the buyer, the job is making sure the boots meet the hazard requirements and haven't been worn past their protective life.

The key checks are straightforward. ASTM F2413 is the US standard for impact and compression resistance—look for the label and confirm the protection level matches the work (I/C is the common one, EH if anyone's near live circuits). Then look at the outsole: if the tread is flat in any area, especially heel or toe, slip resistance is done. The midsole is trickier because you can't see it—repeated compression crushes it over time, reducing protection. Our rule of thumb for daily-use boots is 12 months, though the real answer depends on the environment. And if the safety toe is visible through the upper, that boot is finished. Today, not next week.

We've had pushback on retiring boots that "still feel fine." I understand the attachment—good boots are comfortable. I don't have hard data on how often worn boots contribute to injuries, but I've seen photos from one incident at a facility we work with, and it's not a gamble I'd take. Clearly worn protection is a safety gap, full stop.

Step 5: Verify Standards Markings on Everything

Every PPE item should have a visible mark showing the standard it meets. If it doesn't, you can't assume compliance just because the product listing said so. A colleague at another facility ordered "Z87.1 certified" glasses from an online marketplace, and the whole shipment arrived without a single lens marking. Whole thing went back.

Here's the quick reference I keep in my head: hard hats need ANSI/ISEA Z89.1 (Type 1 or Type 2), safety glasses need ANSI Z87.1+, work boots need ASTM F2413, and fire extinguishers need a documented NFPA 10 inspection process. That last one is a process, not a product mark—which is why the documentation matters.

Step 6: Document Everything, Even the Boring Parts

This is the step nobody wants on a checklist, and I understand why—it feels like overhead. But you can't defend a safety question with "we check those regularly." You need to show when, with what, and what the result was.

When I built our tracking sheet in 2024, it took about two hours. It's a basic spreadsheet. Each row has the product, batch or serial number, date received, date inspected, next inspection date, and the standards mark verified. Every quarter I photograph the date stamps and tags and drop them in a folder. That's it.

That spreadsheet saved us in our most recent audit. The inspector asked about fire extinguisher hydrotest dates, and I pulled up every unit's history in under a minute. He said, "this is how it should be done." So glad I started documenting before they asked—I was one inspection cycle away from not having the records.

Common Mistakes I've Made So You Don't Have To

If you're short on time, this is the part to read. I've hit all of these at some point.

  • Buying the cheapest option. A $3 pair of glasses without a Z87+ mark costs more in liability than the $8 pair that has it.
  • Ignoring chin strap attachment points. A strap threaded through the suspension incorrectly is just decoration.
  • Confusing the dates on a fire extinguisher. Manufacture date, hydrotest date, inspection date—three different things, all with consequences.
  • Assuming new tech fits every situation. Photochromic glasses are genuinely good now, but a worker who's inside all day doesn't benefit from them.

Bottom Line

The fundamentals of PPE management haven't changed much—inspect your gear, replace what's worn, document what you find. What has changed is the execution. Anti-fog coatings that actually work exist now. Photochromic safety glasses are a legitimate option, not a gimmick. Type 2 hard hats are affordable enough to be a default. And the fire extinguisher check is a 60-second habit that keeps you out of a genuinely bad position.

My sample size is one company's experience across about five years of purchasing. If your environment is very different, some of this won't apply—and that's fine. The checklist is a starting point, not gospel.
