PPE Buying Checklist: Hard Hats, Safety Glasses, and Work Boots (From Someone Who Learned the Hard Way)

I've spent the last eight years buying personal protective equipment for a 40-person industrial crew. In that time, I've personally made 12 significant procurement mistakes—about $8,500 in wasted budget, not counting the embarrassment. This checklist is the one I wish I had when I started. It's for anyone who's new to PPE purchasing, or anyone who's tired of gear that falls apart before the warranty does.

Before we go further: this is written from a mid-size company with year-round, stable staffing. If you run a seasonal crew or you're a solo contractor, your mileage may vary. That's fine—take what's useful and skip the rest.

Step 1: Choose a hard hat that can grow with your job site

The first thing people do is pick a hard hat by color. Don't. Pick it by the hazards you actually have. Do you need a Type 1 hat (top impact only) or Type 2 (top and lateral/side impact)? If there's any risk of objects hitting you at an angle, pay the extra for Type 2.

Then think about what you'll need to attach later. Ear muffs, face shields, welding visors, chin straps—these are all part of the hard hat accessory ecosystem. I made the rookie mistake in my first year of buying 150 basic hats that had no slots for accessories. Then we had to reorder the whole fleet when we won a job requiring hearing protection. That one error cost about $1,200 in redo plus a week of scrambling.

Step 2: Install and test the chin strap before you need it

I remember watching a $20 hard hat sail off a scaffold while the guy below was trying to catch it. It could have been a serious injury if the worker had tried to grab it.

Here's how to fit a hard hat with chin strap correctly:

  1. Feed the strap through the internal slots—usually two side anchors or a single back anchor.
  2. Fasten the clip under your chin, not at the back of your head.
  3. Adjust length so you can open your mouth a little, but the hat doesn't move when you tip your head forward sharply.
  4. Test it by turning your head quickly from side to side. If it shifts, tighten.

OSHA's head protection standard (29 CFR 1910.135) doesn't require a chin strap by itself, but many employers make them mandatory when working at height. And when you're working at height, the strap can keep the hat from becoming a projectile.

Step 3: Buy anti-fog safety glasses like you actually sweat

All anti-fog is not equal. The cheapest glasses with "anti-fog" ended up as fogged, scratched junk within two weeks on our crew. What I learned is to look for a decent coating and a vented frame if you're outdoors.

For prescription safety glasses, this is harder. You want a frame that can take prescription lenses and still pass ANSI/ISEA Z87.1-2020. Step 4: Pick moc toe work boots by measurement, not by photo

Moc toe boots are popular because they give the toes a little breathing room. But "looks comfortable" isn't enough. Check the ASTM F2413-18 label for impact (I) and compression resistance (C). If you're in a role with electrical hazards, ask for an EH rating—it will be marked with "EH" on the label.

Here's the part most people skip: go to a fitting session in the afternoon. Your feet swell a half-size by the afternoon. I once bought 30 pairs for the crew based on their morning foot sizes, and 15 of them didn't fit by the end of the first week. That was a $700 return hassle. Now we fit boots at 3pm, after shifts.

Also, if you're in a metal-free area, composite toe may be better than steel toe. Check the site rules before ordering.

Step 5: De-stink work boots with a simple rotation + cleaning system

Step 6: Total cost of ownership beats the unit price every time

I'm the first to say that PPE budgets are tight. But you need to factor in the hidden costs: reordering after early failures, the admin time to process returns, the safety manager's sanity when the product doesn't match spec. The cheapest option is often the most expensive once you include downtime.

We once bought a batch of 100 hard hats from a very low bid. They looked identical to what we usually get, but failed the required drop test—all 100. We had to expedite a replacement order, pay for return shipping, and the project manager still didn't forgive us for delaying his crew. The savings on the initial purchase: about $300. The cost of redo: $1,400 plus a burned bridge.

I'm not saying you should always buy the most premium brand. I'm saying you should calculate in your own time and risk. Use a simple TCO formula: unit price + replacement cost + failure cost + admin time. For us, Pyramex products often come in right because their accessory compatibility and durability bring the long-term cost down. But your worker and your site may vary.

Things I learned the hard way (and would rather you avoid)

  • Don't trust a sticker if you can see the label. Verify ANSI/OSHA markings on a sample before accepting a big order. I skipped that once because the invoice said "Z87.1"—it wasn't.
  • Keep records of the certs. A quiet auditor can become a loud problem if you don't have documentation.
  • Communication matters: ask your crew about comfort. If they don't wear it, the "best" gear is useless.

This checklist works for us, but our situation is a mid-size crew with consistent annual orders. If your team is seasonal, or you're managing multiple sub-contractors with their own PPE, you'll need to adapt it. Honestly, I'm still not sure why some budget-friendly safety glasses fail within weeks when others last months—my guess is the coating quality varies a lot between production runs.
